Data we store

We store your account email, company details, source purchase order files, extracted items and sales order records so you can reopen your work.

How we use data

We use data only to authenticate you, process orders, enforce usage and membership access, and provide order history. We do not sell order data.

Photo and scanned-PDF recognition runs in your browser using a downloaded English recognition engine. Documents are not sent to a separate OCR or AI provider.

Firefox extension data flow

The Gugu OrderFlow Firefox extension works only with the official website. After you explicitly choose one purchase-order file in the extension's persistent uploader, the extension transfers the file in chunks to the open official workspace for browser-based recognition and manual review. The file may contain names, contact details and order amounts.

The extension also receives a signed-in or signed-out status and up to three recent order summaries supplied by the official website. A summary contains an internal order identifier, order number, customer name and order date. The internal identifier is used only to open that order after you select its summary. The extension does not read passwords, session tokens, full payment card numbers, browsing history or content from unrelated websites, sell data, or create a permanent extension copy of the file. Only after you review and save an order does the website retain the source file and order record under this policy.

Payment data

When member checkout is enabled, the third-party payment provider shown at checkout processes the payment. We do not store full card numbers. We store only the provider subscription identifiers and status needed to provide member access. If live payment is not enabled, the service does not create a charge.

Security and retention

Source files have no public URL, and sales orders are available only to their account owner. Records and source files remain while the account is active. Sign-in sessions last up to 30 days. Upload only documents you are authorized to process.
